The International Federation of Arts Councils and Culture Agencies is looking for a dynamic Office Manager to coordinate its finances, membership and administration and to work with team members to manage communications, events and projects as required.

IFACCA is the global network of national arts funding bodies - such as arts councils and ministries of culture. More details on the Federation, which has over 100 members in 65 countries, are set out at the end of this position description.

The Office Manager position will be full-time for a period of 12 months with the potential for renewal.  A salary package commensurate with the experience of the applicant will be negotiated.  A part-time position, paid pro-rata, could also be negotiated. The Office Manager will be based at the Federation’s secretariat office in central Sydney. Some international travel may be required.

Duty Statement

The Office Manager will be responsible for:

  • Managing the Federation’s administrative and accounting systems and the governance and reporting processes required by the board, membership and government authorities, including budgeting and financial reporting.

  • Developing and managing IFACCA’s membership system and liaising with members and other key stakeholders and reporting key developments to the board.

  • Developing and managing IFACCA’s database-oriented information management systems to enhance our online information resources and marketing.

  • Assisting the team to build international support networks for IFACCA including those with members, potential members, sponsors and private foundations.

  • Assisting the Executive Director and other team members to develop new programs and projects, and coordinate existing projects, research, communications and events.

Selection Criteria

We are seeking an enthusiastic team-member with substantial experience including:

  • High level management and organisational skills and an ability to effectively manage staff, consultants and long-term projects. Experience in conducting or managing research projects would be an advantage.

  • Extensive experience in financial management, governance and reporting, ideally in a membership-based service organisation in the arts or not-for-profit sector. Experience in HR would also be desirable.

  • Ability to work independently and as part of a team, prioritise a varied workload, meet deadlines and demonstrate great attention to detail.

  • Excellent written and oral communications skills and an ability to exercise tact and discretion.  Experience in managing websites and/or public relations would be an advantage.

  • High-level expertise in office and administrative systems such as MS Word, Excel, Outlook and MYOB.

  • Demonstrated understanding of the public sector, international affairs, and/or issues in cultural policy. Experience in networking to support the arts would be an advantage.

  • A commitment to cultural diversity and equal opportunities is essential. Knowledge of a language other than English and/or overseas work experience would be an advantage.
